Quality Assurance Department Structure

The QAD structure consists of the dean as Chair, a head, an administrative officer, five Quality Assurance officers and one Quality Assurance Coordinator (QAC) from each of the academic and non-academic departments/centres (D/C).

 

As per Dean’s instruction on August 7, 2019, QAD officers act as QA Ambassadors to each D/C. The QA Ambassadors assist the Heads of Departments/Centres in carrying out regular QA tasks and also monitor and assist in the progress towards ISAA version 0.5.  Current QAD structure can be accessed from:

Roles and responsibilities of personnel in the QAD

 

QAD Chair

  • Provides responsible leadership to the QAD in carrying out its responsibilities as a department.
  • Sets strategic direction, supervises and motivates the QAD members for the successful achievement of College goals.
  • Ensures the involvement of all stakeholders in the QAMS at the college.
  • Coordinates with the Ministry and the College for the enhancement of quality culture.

 

QAD Head 

  • Has the overall responsibility to monitor the performance of the QAD members and oversee the development of quality culture at the college. 
  • Works closely with the QAD Chair and updates the progress of the QAD on regular intervals (weekly performance).
  • Approves the Operational Plan (OP) of D/C and forwards it to the QAD Chair for endorsement.
  • Ensures the implementation of OPs at D/Cs.
  • Conducts periodic meetings with D/Cs for the improvement of OPAR /annual report.
  • Approves the D/C overall activity plan submitted by the Academic /Non-Academic officer.
  • Monitors the implementation of activity plans.
  • Guides the QA members and officers on various activities needed to attain the quality standards as identified in the College Vision, Mission and Goals (if necessary).
  • Guides the QA members and officers in conducting QA awareness programs.
  • Monitors the action plan for the audit reports of Quality Department (QD) / Oman Academic Accreditation Authority (OAAA) submitted by the QA members.
  • Prepares regular progress reports on QA activities and submits them to the QAD Chair.
  • Guides the QA members and officers to disseminate/create awareness/implement the college policies.
  • Analyses and approves the OPAR etc. of D/C. 
  • Guides and supports the maintenance of quality culture in all D/C activities through proper channel.
  • Approves college level templates (wherever necessary) and their use to standardize all D/C activities.
  • Guides the QAD members and officers in conducting self-study at the college and in preparing the report.
  • Guides the QAD members and officers to review the QAM, SP, and other QA documents periodically.
  • Prepares the college annual report.
  • Guides the QAD members and officers in reviewing, developing, implementing and monitoring college policies.
  • Any other duty assigned by the QAD Chair/Dean.

Quality Assurance Officers 

  • Review the Operational Plan of D/C and forward it to the QAD Head for approval.
  • Ensure the implementation of OPs at D/Cs.
  • Conduct periodic meetings with D/C for the improvement of OPAR/annual report.
  • Collect the D/C overall activity plan and review it based on the OP.
  • Monitor the implementation of activity plans.
  • Guide the QA members on various activities needed to attain the quality standards as identified in the College Vision, Mission and Goals (if necessary).
  • Support the QA members in conducting QA awareness programs.
  • Review and follow-up the action plan for the audit reports of QD /OAAA submitted by the QA members.
  • Prepare regular progress reports on QA activities and submit them to the QAD Head.
  • Support the QA members to disseminate/create awareness/implement the college policies.
  • Analyse   the OPAR etc. of D/C.
  • Guide and support the maintenance of quality culture in all D/C activities through proper channel.
  • Prepare the formats/templates or use college level templates (wherever necessary) to standardize all D/C activities.
  • Assist the QAD Head in conducting self-study at college and in preparing the report.
  • Assist the QAD Head in reviewing the QAM, SP and other QA documents periodically.
  • Assist the QAD Head in preparing the annual report of the college.
  • Assist the QAD Head in reviewing, developing, implementing and monitoring of college policies.
  • Any other duty assigned by the QAD Chair/Head.

 

QAD Ambassadors

• Monitor the performance of D/C committees aligned with the College SP.

• Collect the OP from D/C.

• Review the OP and approval meeting with the QAD head.

• Monitor the OP implementation by D/C.

• Check randomly the OP implementation.

• Monitor D/C for the preparation of semester-wise action plan.

• Prepare the Semester –OPAR (Action Plan).

• Follow-up the implementation of college policies at D/C.

• Conduct meetings with D/C to assess progress.

• Monitor the collection of annual OPAR.

• Contribute to the SPAR preparation.

• Contribute to the SWOT analysis.

• Contribute to the SP review.

• Contribute to the annual report preparation. 

• Arrange a weekly meeting with the EAT, RT and WT of D/C.

• Prepare annual, semester-wise and weekly plan at individual level.

• Update the QAD Head weekly on activity/activities progress.

• Attend benchmarking activities and follow-up the improvement at D/C.

• Contribute and assist in the internal audit process.

• Any other task assigned by the QAD Chair/Head.

Quality Assurance Coordinators (QAC)

  • Develop and implement the OP of D/C by involving all staff.
  • Set up D/C overall activity plan based on the SP, OP, QIP, and other audit reports. The activity plan is prepared by involving all D/C committees.
  • Give consultation to the D/C on various activities needed to attain the quality standards as identified in the College Vision, Mission and Goals.
  • Conduct an induction program for the new staff.
  • Plan and conduct QA awareness programs for D/C staff.
  • Come up with innovative and creative ideas for QA awareness sessions to change the old stereotyped boring image of QA related tasks.
  • Prepare and follow-up the action plan for the audit reports of IA/QD /OAAA in consultation with the D/C committees.
  • Prepare regular progress reports on QA activities and submit them to the QAD Head through the QAD Ambassadors.
  • Disseminate/create awareness/implement the college policies.
  • Prepare the OPAR etc. for D/C.
  • Maintain quality culture in all D/C activities through proper channel.
  • Ensure that the D/C is not initiating any activity on its own that deviates with the College SP or Bylaws.
  • Any other duty assigned by the QAD Chair/Head.
